Mandeville achieves this by efficiently looking after its freehold clients by sourcing the best insurance policies, passing on payments as soon as they are received and dealing with any applications for consent, so our clients don’t have to.

Our services for freeholders include:

Setting the service charge budget

A key part of our role will be to set the service charge budget at the beginning of the financial year. This is worked out based on the actual costs spent in the previous financial year. What is spent each year is entirely down to the needs of the building. We work closely with our clients to make savings where we can or to spend extra on the important things that may need urgent attention.

Collection of ground rent & service charge

We will collect the insurance rent and ground rent on our clients’ behalf. We will always ensure prompt collection, with any interest being added on late payments, and ensure this is passed on to our freehold clients within days of receipt of the last payment.

End of year accounts

We will deal with reconciling the accounts at the end of the service charge year, with these then being audited by an independent accountant. These will always be sent to all leaseholders so they can see exactly how their service charge has been spent.

Solicitors’ Information Packs

When leaseholders come to sell, assign or remortgage their property, the assignee, buyer or lender will require an information pack to provide them with details about the property and block they are purchasing in. We endeavour to provide this pack within 48 hours of request and answer any additional queries expeditiously.

Sourcing Insurance

We are happy to use our clients’ existing brokers to source insurance for each development and/or also source alternative quotes for comparison and the most comprehensive cover. If there is a claim, we will liaise directly with the leaseholder making the claim to make everyone’s life easier.

Compliance

We understand it is essential that all buildings and estates are compliant with health and safety legislation and the law in general. We will always ensure health and safety reports and fire risk assessments are carried out as often as is necessary and any recommended action taken. We also ensure all our contractors are fully compliant and keep up to date with any changes in the law so we can ensure your building is secure.

Lease Extension

We understand that lease extensions are an important part of freehold management and freeholder clients will want to ensure that before agreeing an extension, all sums due under the lease are paid up to date. We will liaise with the leaseholders’ solicitor to provide all necessary information and also have close working relationships with industry experts such as surveyors and valuers should our freeholder clients require any further assistance in this respect.

Communication

We understand keeping you in the loop is important. We respond to all emails and calls within 24 hours on a weekday and 48 hours on a weekend or bank holiday (much sooner in an emergency). We also make sure all our residents are kept fully informed either by way of bulletins, newsletters, email updates or via our social media pages when there is anything noteworthy taking place. This means our freeholder clients are not chased by residents that have been kept in the dark.

We understand freehold investment is often a long-term plan for our clients. We ensure value is kept in all our developments by regularly reviewing and implementing a maintenance plan and upholding the image and appearance of our developments. We understand our freeholder clients have an asset to protect and we work hard to ensure that protection is maintained.
